Event QR Codes
Create event invitations with all the details and add-to-calendar functionality.
Event QR codes share your event details and let guests add it to their calendar with one tap. Scan, see the info, tap "Add to Calendar"—done.
What It Does
When someone scans, they see a page with your event name, date and time, location (with a map), description, and an "Add to Calendar" button. They can also RSVP or buy tickets if you've added those links.
What You Can Include
The basics: Event name, description, category (conference, party, workshop, etc.)
Date and time: Start and end times, time zone, recurring schedules for ongoing events
Location: Venue name, full address, interactive map with a "Get Directions" button. For virtual events, add your Zoom, Meet, or Teams link.
Extra details: Host/organizer info, contact email, ticket price, dress code, what to bring
Action buttons: Add to Calendar, RSVP link, ticket purchase, event website
Add to Calendar
The calendar button works with Apple Calendar, Google Calendar, Outlook, and any app that supports .ics files. Once it's in their calendar, they won't forget.
Creating an Event QR Code
Click + Create QR Code, select Event, and fill in your details. Add the location or virtual meeting link, set the date and time, add any action buttons you want (RSVP, tickets, etc.), and download.
Where to Use Them
- Invitations – Print QR codes on save-the-dates, wedding invites, party invitations
- Posters and flyers – Event promotion that leads to full details and calendar add
- Social media – Share events without cramming everything into a caption
- Conference materials – Session info, schedules, venue maps
- Trade shows – Booth visitors save demos and meeting times
How Calendar Integration Works
When guests tap "Add to Calendar," their calendar app opens with everything pre-filled: event title, date, time, location (with map link), and description. They tap "Save" and it's done. Works with Apple Calendar, Google Calendar, Outlook, Samsung Calendar—anything that supports .ics files.
Virtual Events
For online events, put your Zoom, Meet, or Teams link in the location field. Include access codes in the description, add dial-in numbers for phone participants, and definitely include the time zone (especially important when your audience is spread out).
For virtual events, guests can tap the location/meeting link directly from their calendar when it's time to join.
Multi-Day Events
For conferences or festivals, set start and end dates. Consider linking to a schedule PDF or your event website for the full program. For complex events with many sessions, you might want separate QR codes for different days or tracks.
Analytics
You can see how many people viewed the event details, when they're checking (useful to see if promotion timing is working), and general location data. Calendar adds are estimated based on button clicks.
For more on understanding your analytics, see our analytics guide.
RSVP Integration
Add a custom button linking to Eventbrite, Google Forms, or your own RSVP page. Guests scan, see the details, and can RSVP or buy tickets right there.
Tips
Be specific with names. "Annual Company Picnic 2024" is better than "Company Event."
Double-check the time zone. This catches a lot of people off guard, especially for virtual events.
Include the full address. Venue name alone isn't enough—add the street address so directions work properly.
Make the description useful. What's happening? Why should they come? What should they bring?
Common Questions
Can I track RSVPs through the QR code? We track scans and button clicks. For actual attendance tracking, use your RSVP service.
What if the event details change? Update the QR code and changes go live immediately. People who already added to calendar will have the old info, so communicate changes separately.
Can I create recurring events? Yes, you can set up repeat patterns (weekly, monthly, etc.).
Does "Add to Calendar" always work? On virtually all modern phones, yes. Very old devices might have issues with .ics files.
