Choosing the Right Role

When to Use Admin

Give Admin to people who need to manage the team itself, handle billing, or make organizational decisions.

Typical Admins: Business owner, marketing director, IT administrator, account manager.

Admins can remove other admins and change billing. Only give this role to trusted individuals.

When to Use Editor

Give Editor to people who create and manage QR codes daily but don't need team or billing access.

Typical Editors: Marketing specialists, designers, content managers, store managers.

When to Use Viewer

Give Viewer to people who need to see what exists and review analytics but shouldn't make changes.

Typical Viewers: Executives needing reports, clients reviewing work, temporary stakeholders.

Changing Roles

To change someone's role:

  1. Go to Settings → Team
  2. Find the member
  3. Click their current role
  4. Select the new role

Changes take effect immediately.

Role Limitations

What Editors Cannot Do

  • Invite or remove team members
  • Change anyone's role
  • Access or change billing
  • Modify organization settings

What Viewers Cannot Do

Everything Editors cannot do, plus:

  • Create new QR codes
  • Edit existing QR codes
  • Delete anything
  • Export data

Special Scenarios

Temporary Access

For contractors or temporary team members, add them as Editor or Viewer, set a reminder to review, and remove access when the engagement ends.

Client Access

Add clients as Viewers. They can see QR codes and analytics but can't make changes. Remove when the project completes.

Agency Managing Multiple Clients

Options:

  • Separate organization per client (cleanest separation)
  • One organization with folders per client (simpler billing)
  • Add client stakeholders as Viewers

Security Best Practices

Start with minimum access. Give Viewer first, upgrade to Editor if needed, Admin only when truly necessary.

Review access periodically. Check who has access, what role they have, and whether they still need it.

Always have multiple Admins. If your only Admin leaves or loses access, you'll need to contact support to regain Admin access. Having at least two Admins prevents this problem.

Common Questions

Can I create custom roles? Not currently. We have Admin, Editor, and Viewer.

Can Editors see billing information? No. Only Admins can see billing.

Can I hide certain QR codes from some team members? Not currently. All team members see all QR codes in the organization.

What happens if the only Admin leaves? You'll need to contact support to regain Admin access. Always have multiple Admins.

Can I restrict access to specific folders? No. Folders are visible to all team members.
